Services

What we count and check in your warehouse

From the annual full count to ongoing sampling: you set the frame, we deliver the count, the reconciliation and the documentation.

  • Year-end full count

A complete count of all stock on the agreed date. Count sheets per zone, a second count, reconciliation with the book stock and a record of the whole procedure.

    Enquire
  • Sample-based count

We draw the sample under a fixed scheme, count the selected items and document the draw, the result and the deviations. Whether the method suits your accounts is for you to settle with your auditor beforehand.

    Enquire
  • Perpetual count

A count plan that spreads zones and item groups across the year. The warehouse keeps running, and book stock stays reliable between the year-end dates.

    Enquire
  • Stock reconciliation

Counted quantities against a 1C, Excel or ERP extract. We group differences by item, batch and cause: wrong posting, mix-up, timing or genuine shrinkage.

    Enquire
  • Warehouse audit

Goods receipt, bin system, posting discipline, blocked stock and returns. We examine the process behind the numbers and name weak points in order of priority.

    Enquire
  • Asset and bin labelling

Fixed assets recorded with inventory tags, plus barcode labels for racks and bin locations as the basis for every later count.

Methods

Three counting methods, one will fit your warehouse

Range, floor area and the requirements of your head office decide which approach makes sense. We explain the differences and carry out the one you choose.

Full count

Year-end count

Principle

All items are counted on one fixed day or in a short window and compared with the book stock.

Suited to

A manageable range, year-end closing, a change of site or the takeover of a warehouse.

Warehouse operation

Movements pause, or are recorded separately from the cut-off time.

Selection method

Sample-based count

Principle

A selection drawn under a fixed scheme is counted, and the result is projected onto the total stock.

Suited to

A large range of uniform stock where a full count would be out of proportion.

Warehouse operation

Only the drawn areas are affected; the rest of the operation carries on.

Rolling count

Perpetual count

Principle

Zones and item groups are counted according to a plan spread over the financial year and documented as you go.

Suited to

Warehouses with high turnover and constant dispatch that cannot afford a standstill.

Warehouse operation

Counting is done zone by zone between movements; the warehouse stays in operation.

Which method is acceptable for your accounts depends on your own requirements and your auditor. We advise on practice and, if you wish, agree the approach with your controlling team in advance.

Process

From enquiry to inventory record

Every station has an owner and a result that you can review and approve.

  1. 01

    Enquiry and walkthrough

We clarify the range, floor area, method and system landscape. If needed, we look at the warehouse on site.

  2. 02

    Count instructions

In writing: cut-off time, zones, counting sequence, and how blocked stock and movements are handled during the count. You approve the document.

  3. 03

    Preparation on site

Bin locations are labelled, goods sorted, count sheets and tags laid out. The count teams are briefed.

  4. 04

    First and second count

One team counts, a second counts independently. If the results differ, the item is checked a third time.

  5. 05

    Reconciliation and clearing

The count is compared with the book stock. Every difference gets a cause or an open status.

  6. 06

    Record and handover

You receive the inventory record, the difference list and a summary for management. The reporting language is agreed in the contract.

Result

The documents you receive

The documents are built so that accounting, management and the auditor each find what they need.

  • Inventory record

Procedure, count teams deployed, cut-off time and deviations from the plan, as a document for the file and for your auditor.

  • Count sheets

Counted quantities per bin with first and second count, also as a scan on request.

  • Difference list

Target-versus-actual comparison per item with quantity, value, suspected cause and clearing status.

  • Management summary

One page with the key result, the largest deviations and the next steps.

  • Action list

For a warehouse audit: prioritised weak points with concrete proposals for putting them right.

How we work

Accuracy is our method

Behind every figure in a stock report there is a count that someone else can repeat. That is the standard we work to.

  • Four-eyes principle

The counter and the checker are never the same person. The second count runs without knowing the first result.

  • Traceability

Every figure leads back to a count sheet: who counted where, and when.

  • Zone by zone, not a shutdown

We count area by area and record movements separately from the cut-off time. Dispatch does not have to stop for days.

  • Confidentiality

Stock and price data are used only for your assignment. Confidentiality is agreed in the contract or an NDA.

  • One contact person

One project lead coordinates the count teams, your warehouse management and the analysis, and is available for questions.

  • On site in Uzbekistan

We work in Tashkent and in the regions and bring the count teams, tags and materials ourselves.

FAQ

Common questions on stock counts

Do you follow German inventory principles, and will my auditor accept the result?

We align the count instructions, documentation and clearing of differences with the usual principles of German inventory practice: completeness, accuracy and traceability. Whether your auditor accepts a result is his or her decision. On request we agree the count instructions and the report format with the auditor or your controlling team beforehand.

Which method suits my warehouse?

It depends on range, number of items, turnover and your own requirements. Small, manageable warehouses are usually counted in full at year-end. A large, uniform range may call for a sample, and high turnover for a perpetual count. After the walkthrough we make a concrete proposal.

Does the warehouse have to close for the count?

Not necessarily. With a year-end count, movements usually pause for the counting window; with sampling and a perpetual count the operation carries on. We count zone by zone and record movements separately from the cut-off time.

In which language are the count instructions and the report?

We settle that together in the contract. Simply tell us what your head office or auditor needs.

How does the reconciliation with our system work?

As a rule a stock extract at the cut-off time as an Excel or CSV file is enough, for example from 1C or your ERP system. We do not normally need direct access to your system. You receive the difference list in a format that is easy to process further.

How long does a stock count take?

It depends on the number of items, floor area, method and how accessible the racking is. After the walkthrough we give a schedule by shift. Many warehouses can be counted within one night or one weekend.

How do you calculate the price?

What matters is the number of items, the selected services and the time of work, since night and weekend jobs cost more. The calculator on this page gives a guide figure in US dollars; the binding quote follows after the walkthrough.

How do you handle confidential data?

We use stock, price and supplier data solely for your assignment. Confidentiality is agreed in the contract or in a separate non-disclosure agreement.

Is the count date getting closer?

Send us the site, the number of items and your preferred date. You will receive a non-binding proposal for method and schedule.
